Automating corporate subsidy management inside Workday

Large German enterprise software and services provider. The HR ops team ran corporate transport subsidies through a monthly chain of CSVs, spreadsheets, and email. Subsidy rules, leave handling, retention, and payroll formatting all lived in someone's head. We turned it into one Extend app.

01Scope

One Extend app, one monthly cycle.

Workday Studio ingests transport-provider CSVs and validates them. The Extend app applies the German subsidy rule engine: contract type, LOA windows, mid-month exceptions, partial-month calculations.

Outputs a LODAS-correct payroll file split by PersNr range, UTF-8 without BOM. Retention enforced at the data model: six years standard, fourteen years for certain claim types.

02Outcome

Monthly cycle, no specialist needed.

The monthly cycle runs to a calendar instead of to one person's availability. Six-year and fourteen-year retention is enforced by the system, not by a specialist. Payroll runs the LODAS file without manual adjustments.
